TED Email AI
What is TED Email AI?
TED (Transportation Email Data) is TMS.ai's AI assistant that transforms email communication into actionable orders. Instead of manually reading through customer emails, copying details, and typing them into your TMS, TED automatically extracts order information from your inbox and creates draft orders ready for review. This AI tool understands the context and language of freight operations, recognizing customer-specific terminology, lane patterns, and requirements that your team has established over time.
TED works directly within your email workflow. When customers send load tenders, rate confirmations, or shipment details via email, TED reads the message, identifies the relevant freight information (pickup locations, delivery addresses, commodity details, special instructions), and generates a structured order in TMS.ai. The system learns from your corrections and approvals, becoming more accurate as it processes more emails from your customer base.
How TED Email AI works:
- Email monitoring: TED connects to your designated email address and continuously monitors incoming messages for freight-related content. You can configure which email addresses or domains TED should process.
- Content extraction: When an email arrives, TED scans the message body, attachments, and any embedded information. It identifies key data points including shipper and consignee details, pickup and delivery dates, commodity descriptions, weights, special handling requirements, and rate information.
- Order draft creation: TED creates a draft order in TMS.ai with all extracted information pre-populated in the appropriate fields. The draft order includes customer reference numbers, stop locations with addresses, appointment windows, and any accessorial requirements mentioned in the email.
- Review and approval: The draft order appears in your TMS.ai workflow for review. Your team can verify the accuracy of extracted information, make any necessary adjustments, and approve the order for processing. TED flags any uncertain extractions for human verification.
- Continuous learning: As your team reviews and corrects TED's work, the AI learns your specific terminology, customer preferences, and operational patterns. Over time, TED becomes more accurate at interpreting emails from your regular customers and understanding your business-specific language.
- Integration with workflows: Once approved, orders created by TED flow seamlessly into your standard dispatch, planning, and execution workflows. They're treated identically to manually entered orders and trigger the same downstream processes.
What it means for you:
Your team stops spending hours each day manually transcribing email content into your TMS. TED processes incoming load tenders in seconds rather than minutes, allowing your customer service team to handle higher order volumes without proportional headcount increases. One mid-sized brokerage reported reducing order entry time by 75% after implementing TED, freeing staff to focus on customer relationships and problem-solving rather than data entry.
The accuracy improvements are equally significant. Manual transcription inevitably introduces errors (wrong addresses, transposed numbers, missed special instructions). TED eliminates these transcription errors by directly extracting information from source emails. When TED is uncertain about any detail, it flags the field for human review rather than guessing, combining automation speed with human oversight for quality assurance.
