This feature replaces the old model of emailing spreadsheets or fielding constant status calls. You build a board showing exactly the data customers or partners need (order status, delivery ETAs, POD collection status, pending pickups, or whatever matters for that relationship). Security filters ensure each external user sees only their own related records automatically. You share the board link via email, and they open it to see live operational data that updates automatically as your team works in TMS.ai. How Shareable Boards for Customers & Partners works:
- Build a customer-facing board: In TMS.ai, navigate to Boards and create a new board. Select the data objects customers need to see (typically Orders, showing status, location, ETA, and delivery information).
- Apply relationship filters: Use the builder to add filters that automatically restrict the board to relevant records. For customer boards, filter so each customer sees only orders where they're listed as the customer.
- Choose visible fields: Review every field in the board view and decide which ones external users should see. Show information like order status, pickup/delivery locations, ETAs, and tracking details. Hide internal fields like costs, carrier rates, or margin data.
- Configure external security: Navigate to the "External" tab in the board configuration. Set security rules that automatically filter data based on who's accessing the board (customers see their orders, carriers see their assigned loads).
- Arrange the view for customers: Organize widgets and information panels in the order that makes sense for external users. Put the most important information (current status, delivery ETA) at the top where it's immediately visible.
- Generate the shareable link: Once the board is configured with appropriate filters, fields, and security settings, generate a unique shareable link for the board.
- Share links with customers: Send the board link to your customers via email. Explain that the link provides real-time visibility into their shipments and they can bookmark it for ongoing access.
