Load Board (Truckstop)

What is Load Board Integration (Truckstop)?

Load board integration connects TMS.ai directly to freight matching platforms like Truckstop, letting you pull available loads into your system without manual data entry. You search for freight on the load board, find a load that matches your capacity, copy the load ID, and paste it into TMS.ai. The platform automatically imports pickup location, delivery destination, dates, equipment requirements, and rate information, creating a draft order ready for acceptance and driver assignment.

This streamlines the spot market workflow for carriers looking to fill empty trucks or backhaul capacity. Instead of juggling the load board in one window and your TMS in another, copying information field by field, you work directly in TMS.ai and import loads with a single click. You see the load details in the same format as your other orders, making it easier to evaluate capacity, calculate profitability, and coordinate with your existing schedule.

How Load Board Integration works:

  1. Connect your load board account to TMS.ai. Navigate to Settings > Integrations > Load Boards and select Truckstop (or your load board provider). Click "Connect Account" and enter your load board credentials when prompted. This establishes the connection between your accounts.
  1. Access the load board import tool. From your main dashboard or orders board, click the "Import from Load Board" tile. This opens the import interface where you can pull loads directly into TMS.ai.
  1. Find a suitable load on your load board platform. Open Truckstop or your load board in a separate browser tab. Search for available freight matching your equipment type, location, and rate requirements. When you find a load you want to book, copy the load ID from the listing.
  1. Paste the load ID into TMS.ai. Return to TMS.ai and paste the load ID into the "Load ID" field in the import interface. The load ID is typically a unique identifier visible at the top of each load listing on the board.
  1. Click "Create Order" to import the load. TMS.ai contacts the load board API and retrieves the complete load details including shipper name and address, consignee information, pickup and delivery dates/times, commodity description, weight, equipment type, and agreed rate.
  1. Review the imported order details. The system creates a draft order with all the load board information pre-filled. Open the order to verify the pickup location, delivery address, dates, and commodity details are correct and complete.
  1. Add any additional information required for operations. Load board listings typically include basic shipment information but may lack details like contact phone numbers, specific appointment times, or special handling requirements. Add these details in the appropriate fields to ensure smooth execution.
  1. Accept the load and assign a driver. Once you've confirmed the details and added any necessary information, save the order and assign it to a driver from your fleet. You can now manage the load through your standard dispatch workflow alongside all your other orders.

What it means for you:

Carriers running spot freight can book and dispatch loads faster. When you have an empty truck in Memphis and find a good load to Nashville, you copy the load ID, import it into TMS.ai, assign your driver, and get the truck moving in under two minutes. No more switching between systems, no more retyping addresses, no more questions about what information you captured correctly from the load board posting.

This integration also helps you evaluate loads more effectively. When load details live in your TMS alongside your other orders, you can quickly see if a potential spot load fits your existing schedule, calculate actual profitability including deadhead miles, and make better decisions about which freight to book. The load board becomes a source of freight opportunities, not a separate system you have to manage independently.
