EDI

Large customers require EDI (Electronic Data Interchange) for automated transaction processing. EDI integration exchanges standardized documents between TMS.ai and customer systems without manual order entry or status updates.

EDI transaction types supported:

  • EDI 204 (Load Tender): Creates orders in TMS.ai automatically when customers send shipment requests
  • EDI 214 (Shipment Status): Sends tracking updates to customers as shipments progress through pickup, in-transit, and delivery milestones
  • EDI 210 (Freight Invoice): Transmits completed invoices to customer AP systems for automated processing

Setting it up:

  1. Contact your TMS.ai account team to request EDI setup
  2. Provide your trading partner's EDI requirements and specifications (which transaction sets they require, their communication protocol, etc.)
  3. Share your EDI mailbox credentials or VAN (Value-Added Network) connection details
  4. Work with TMS.ai support to map EDI transaction fields to TMS.ai data fields:
    • Map customer location codes to TMS.ai address records
    • Map commodity codes to TMS.ai commodity types
    • Map equipment codes to TMS.ai equipment types
    • Map reference numbers to appropriate TMS.ai fields
  5. Configure which transactions to send and receive (204, 210, 214, and any others required by trading partners)
  6. Test EDI exchanges with sample transactions in your trading partner's test environment
  7. Complete trading partner testing requirements (they'll verify your EDI formatting meets their specifications)
  8. Activate EDI connection for production use after passing trading partner certification

How it works:

When EDI 204 (Load Tender) documents arrive, the system parses the transaction and automatically populates orders in TMS.ai with:

  • Pickup and delivery locations
  • Appointment times
  • Equipment requirements
  • Commodity details
  • Special instructions
  • Reference numbers

As shipments progress, TMS.ai automatically generates EDI 214 (Shipment Status) messages when:

  • Pickup is completed
  • Shipment is in transit (optional milestone updates)
  • Delivery is completed
  • Exceptions occur (delays, missed appointments)

When invoices are finalized, TMS.ai generates EDI 210 (Freight Invoice) messages with:

  • Line item charges (freight, fuel surcharge, accessorials)
  • Reference numbers matching the original 204
  • Total charges
  • Payment terms

Outbound EDI messages generate automatically based on status changes and workflow milestones in TMS.ai. No manual intervention is required once the integration is configured.

Status updates satisfy customer requirements automatically as EDI 214 messages send when drivers complete milestones, reducing customer service calls asking "where's my shipment?" Invoice payment accelerates because EDI 210 messages feed customer AP systems directly. Invoices enter their payment queue immediately upon delivery rather than waiting for paper invoices or email attachments.
