What is Data Export & Integration?
Data Export & Integration capabilities in TMS.ai give you control over how your operational data flows to other systems and stakeholders. Whether you need to send information to accounting software, create custom analysis in Excel, share performance reports with customers, or feed data into business intelligence tools, export and integration features make it happen without manual data entry.
Export functionality lets you pull data from any board or report in formats that work with whatever tools you're using. CSV exports work universally with spreadsheet software and can be imported into virtually any business system. PDF exports create professional reports for sharing with stakeholders. The system handles the formatting and file creation so you can focus on using the data rather than wrangling it.
Integration extends beyond simple exports. TMS.ai's API enables real-time data connections with accounting systems like Sage and Great Plains, ERP platforms, and custom business intelligence dashboards. This means data flows automatically rather than requiring someone to manually export, transform, and import information every time you need to sync systems.
How Data Export & Integration work
- Export board data to CSV by opening any board (Orders, Carriers, Invoices, etc.), applying whatever filters show the specific data you need, then clicking the Extension Menu (three dots) and selecting Export. The system generates a CSV file containing all visible records with their complete field data.
- Download reports as PDF, PNG, or CSV depending on the report content and your intended use. From any analytics report, click the download option and select your preferred format. Tables and pivot tables can export as CSV for further analysis. Charts export as PNG for presentations. Full reports export as PDF for sharing or archiving.
- Set up automatic exports via scheduled report delivery when you need regular data feeds. Configure the schedule (daily at 6 AM, weekly on Monday, monthly on the 1st), select recipients, choose the export format, and the system handles the rest. Your accounting team can receive daily invoice exports without anyone having to remember to pull them.
- Use the API for system-to-system integration when you need real-time data synchronization. The API lets your accounting system pull invoice data automatically, your business intelligence platform refresh dashboards with current order information, or your ERP system sync customer and carrier records. - Export financial line items for accounting integration using the Global FLI Board. This specialized board consolidates all financial line items from invoices, bills, and assets in one place. Filter by GL code, date range, or document type, then export to CSV for import into systems like Sage, Great Plains, or any other accounting platform.
- Set API permissions and access controls through your admin settings. You control which external systems can access your data, what information they can retrieve, and how frequently they can make requests. This ensures integration security while enabling the connectivity you need.
- Automate data workflows using webhooks to trigger actions in other systems when specific events occur in TMS.ai. For example, when an invoice is marked as exported, a webhook can notify your accounting system to retrieve the updated data, eliminating any manual steps in your financial close process.
