What are Custom Boards & Filters?
Boards are your command center for viewing and managing collections of records like Orders, Quotes, Customers, or Carriers. Think of a board as a customizable table that displays exactly the data you need to see, filtered and organized the way that makes sense for your workflows. Every object in TMS.ai has a default board showing all records, but Custom Boards let you create focused views tailored to specific roles, priorities, or situations. Filters narrow down what appears on your board based on criteria you define: show only orders picking up today, quotes awaiting customer approval, or carriers missing insurance documents.
Custom Boards eliminate the noise. Instead of scrolling through hundreds of orders to find the dozen that need immediate attention, your board shows just those critical loads. Dispatchers can create a "Today's Pickups" board. Accounting can maintain an "Pending Invoices" board. Customer service can filter to "Orders with Exceptions." Each team member sees exactly what matters to them, which means faster decision-making and less time hunting for information.
How Custom Boards & Filters work:
- Start from the default board: Navigate to any object module (Orders, Customers, Partners, etc.). You'll see the default board displaying all records with standard columns.
- Customize visible columns: Click the "Customize Columns" button. A panel opens showing Available Columns and Selected Columns. Drag fields from available to selected to add them to your board view. Remove columns you don't need by dragging them back to available or clicking the X next to them. This includes both default fields and any custom fields you've created.
- Rearrange column order: Drag selected columns up or down to reorder them. Put the most important information on the left where you'll see it first. For example, position "Order ID," "Customer," and "Pickup Date" at the start of an Orders board.
- Apply filters to narrow results: Click the "Add Filter" button above your board. Select a field to filter by, choose an operator (equals, contains, starts with, greater than, etc.), and enter your filter value. For example, filter Orders where "Status" equals "Dispatched" or where "Pickup Date" is "Today."
- Combine multiple filters: Add as many filters as needed to create precise views. Use "AND" logic to require all conditions (Status = Dispatched AND Pickup Date = Today) or "OR" logic for either/or conditions. Each additional filter further refines what appears on your board.
- Save your customized board: After configuring columns and filters, click "Save to View." Give your board a descriptive name like "Today's Active Deliveries" or "Unpaid Invoices Over 30 Days." Choose whether to save it as a personal view (only you can see it) or an organizational view (available to your entire team).
- Access saved boards from the dropdown: Saved boards appear in a dropdown menu at the top of the object module. Click any board name to instantly switch to that view. Your default board always remains available if you need to see everything again.
- Edit or delete boards: Click the triangle icon next to a board name to edit its filters, rename it, or delete it. Update boards as your workflows evolve or create new ones for emerging priorities.
